A. COMMITTEE ACTIVITY

The Grand Council was asked to produce a minimum of 10 more actionable recommendations regarding communications best practices.  Also, we were asked to note everything that needs to be changed in current policies for each recommendation.

C. PUBLISHABLE SUMMARY

We are being asked to produce a minimum of 10 actionable recommendations per quarter, each of which the board will look at and probably request commentary from other sources.  Also, we were asked to note everything that needs to be changed in current policies for each recommendation.  

These are the best practices recommendations for SCA communications from the Grand Council for 2nd Quarter 2011.  We present these as general guidelines and not as rules with which to beat people over the head.

1.)  Develop and maintain stronger ties with the affiliate branches, ensuring that the BoD is aware of,  and adheres to, all the provisions in its affiliation agreements. Contact between the BoD to its affiliates should occur no less than monthly and should provide, at a minimum, the minutes of any Board meetings or any other information that may affect the affiliate branches.

2.)  Reports that the BoD receives from society level officers should also be provided to the affiliates by means of US BoD, in an effort to maintain a good flow of information and ensure the affiliate organisations and their branches have ample time to review and reply to any information, proposed
law changes, etc. which might be relevant.

3.)  A report by the President of the SCA, Inc. should be posted to the SCA Inc. website summarizing the proceedings of any Board of Directors' meeting within a week.

4.) The minutes of any meeting of the Board of Directors of the SCA Inc. should be posted to the SCA Inc. website within a week of their approval.

5.) All society-level officer reports should be posted on the SCA Inc. website as soon as reasonably possible after such reports have been accepted and any confidential information is removed.

QUESTION 1) The Grand Council requests a change in the relationship between the BoD and the GC.  In this request, we will specifically ask that the Board of Directors of the SCA Inc. give us feedback on each report so that we can measure our performance and work products with the aim of working more effectively.

QUESTION 2) The SCA Inc. should set up and publish forwarding email addresses using a standardized format for the officers and appointed Kingdom reps for the Council (e.g. "GC-East. at SCA.org" and "GC-Chair at sca.org" ) so that people wishing to communicate with their GC
representatives do not have to remember exact names and personal email addresses from year to year.

QUESTION 3) The SCA Inc. should set up and publish forwarding email addresses using a standardized format for the various Board of Directors Ombusdman (e.g. "BOD-East at  sca.org", "BOD-GC at sca.org").
